Who we are

SchoolHQ is a school management platform operated by ZeezTech, the trade name of the proprietorship registered as “ZEEZ TECH” (Udyam Registration UDYAM-TS-02-0321146, GSTIN 36DVLPA7435Q2ZW). Our registered office is at Ground Floor, 8-2-403/6/5, KBR Park Road Number 2, Subdalaya, Banjara Hills, Hyderabad — 500034, Telangana, India.

In this policy, “SchoolHQ”, “we”, “us”, and “our” refer to the SchoolHQ platform as operated by ZeezTech. This policy is the SchoolHQ-branded version of the ZeezTech corporate policy at zeeztech.com/privacy-policy; the two are kept in sync.

What this policy covers

This Privacy Policy explains how we collect, use, and protect your information when you use any of the following SchoolHQ surfaces, all of which are operated by ZeezTech:

schoolhq.in — the SchoolHQ marketing & product website
app.schoolhq.in — the school dashboard (admin, teacher, student, parent, staff portals)
admin.schoolhq.in — super-admin console used internally by ZeezTech to onboard and support schools
api.schoolhq.in — the backend API consumed by the web dashboard and the mobile apps
storage.schoolhq.in — object storage for files uploaded through SchoolHQ (chat attachments, homework files, school logos)
The SchoolHQ Android & iOS apps (Android package in.schoolhq.app)

Information we collect

Account information: name, email address, phone number, and password (or one-time passcode) when you create or sign in to an account.
Profile information: role (admin, teacher, student, parent, staff), school affiliation, designation, and other details required for the service to work.
Communication data: messages, attachments, notifications, and any content you send through the platform (including in-app chat, WhatsApp, SMS, and email).
Usage data: IP address, device information, operating system, app version, and browser type.
Educational data: attendance, grades, homework, fees, timetables, leave records, and other school records.
Location data (mobile app only): when you explicitly grant permission, the SchoolHQ mobile app accesses your device’s GPS to (a) verify you are physically inside the school premises when you tap “clock in” or “clock out” (staff attendance geofencing), and (b) if you are a school transport driver, track the live position of the school bus — in the foreground and in the background while a trip is active — so parents and the school can see the bus on a map in real time. Location is sampled only while the relevant feature is in use; we do not record or store continuous historical location traces beyond the active trip log. You can revoke location permission at any time in your device settings.
Camera, microphone, photo library, and documents: only when you explicitly attach a photo, document, or PDF to a chat message or to the AI assistant. We do not access the camera, microphone, or photo library in the background.
Push notification tokens: when you install the mobile app, we receive a device push token from Firebase Cloud Messaging (Google) so we can deliver notifications such as new chat messages, attendance alerts, homework digests, and announcements.
Payment information: when you make a payment (for example, school fees), the transaction is processed directly by Razorpay. We do not store full card numbers, CVVs, or UPI PINs on our servers; we receive only a payment identifier and status from Razorpay’s webhook.

How we use your information

To provide and maintain SchoolHQ.
To send notifications via SMS, WhatsApp, email, and in-app push about school activities, attendance, fees, homework, and announcements.
To verify staff presence at school via geofenced clock-in / clock-out.
To enable real-time school bus tracking for parents while a trip is active.
To improve the platform and develop new features.
To respond to your queries and provide customer support.
To comply with legal obligations.
To prevent fraud and ensure platform security.

Who we share data with

We do not sell your personal information and we do not show advertising of any kind inside SchoolHQ. We share data with the following third-party providers strictly to operate the service:

WhatsApp Business Platform (Meta): messaging delivery.
Twilio: SMS delivery.
SendGrid (Twilio): transactional email delivery.
Firebase Cloud Messaging (Google): mobile push notifications.
Mapbox: map tiles and rendering inside the mobile app (school location, bus tracking, geofenced clock-in). Mapbox receives the map viewport and a public API token; it does not receive your account identity from us.
xAI Grok / OpenAI: AI assistant features. Your prompts and any files you choose to attach are sent to the AI provider to generate a response.
Razorpay: payment processing. Card and UPI details are entered into Razorpay’s hosted checkout and never reach our servers.
Cloudflare: CDN, DDoS protection, and HTTPS termination in front of our application.
Self-hosted analytics (Umami): aggregate, cookie-less usage statistics on the marketing website.

These providers are bound by their respective terms of service and process data only as required for their specific functions.

Data security

We use industry-standard measures including HTTPS/TLS in transit, secure password hashing, short-lived JWT access tokens with refresh tokens, role-based access controls, and storage of third-party API credentials in a managed secrets vault rather than the application database. No method of internet transmission is 100% secure.

Data retention

We retain personal data while your account is active and for a reasonable period afterwards to comply with legal obligations, resolve disputes, and enforce our agreements. Educational data is retained on behalf of the school for the duration of the school’s subscription. On a school’s request we will delete or anonymise records, subject to applicable record-keeping requirements.

Your rights

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your data, subject to legal requirements and your school’s record-keeping.
Revoke device permissions (location, camera, microphone, photos, notifications) at any time from your device settings.
Opt out of marketing communications.
Request data portability.

Children’s privacy

SchoolHQ involves data of students, including minors. This data is collected and managed by the respective schools and parents. We process it only on behalf of and with the authorisation of these institutions. We do not market SchoolHQ directly to children and we show no advertising of any kind inside the mobile or web apps.

Cookies & tracking

We use essential cookies (and the equivalent localStorage on mobile) for authentication and session management. We do not use third-party advertising cookies. Aggregate analytics on the marketing site is collected via a self-hosted Umami instance and does not set tracking cookies.

Changes to this policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date. If a change is material, we will notify users in-app or by email before it takes effect.
