CBSE-compliant attendance rules: what every school admin should know
CBSE attendance rules for student promotion, parent notifications, and audit requirements. Built-in to any modern school ERP.
CBSE has specific rules about student attendance — for promotion, for board exam eligibility, and for record retention. Here is a plain-English summary and how a modern school ERP handles it for you.
The core rules
75% minimum attendance for promotion
CBSE requires students to be present for at least 75% of working days in an academic year to be promoted. Schools have discretion to condone a lower percentage in exceptional cases (medical, family emergency).
Board exam eligibility for Class 10 and 12
Same 75% rule, with slightly stricter documentation. Medical certificates must be on file, and attendance registers are auditable by CBSE inspection teams.
Parent notification on absence
Not a CBSE hard rule, but good practice — notify a parent on the day of absence, so the school is legally on record as having raised concern.
Annual attendance in report card
Report cards must include annual attendance percentage alongside marks.
Where most schools trip up
- **Excel registers get edited after the fact.** There is no audit trail, so CBSE inspectors can flag it as unreliable. Digital attendance with timestamps and who-marked-it is the fix.
- **Half-day rules are inconsistent.** Some classes count morning only, others count both sessions. A single system-wide policy is safer.
- **Condonation is undocumented.** When a principal waives attendance below 75%, the reason should be logged. If it is all in emails, it is gone.
- **Medical certificates are paper.** Scanned, attached to the student record, and searchable is now expected.
What a modern school ERP does about this
A school ERP like SchoolHQ handles these by default:
- Digital class-wise attendance with a timestamped audit trail
- Auto-calculated annual attendance percentage per student
- Auto-notification to parents on absence (SMS + WhatsApp + email)
- Medical certificate upload against student profile
- Condonation workflow: principal signs off, reason is stored
- Exportable attendance register for CBSE audit
If you are still on paper
Moving from paper to a digital register is typically a one-week project: import student roster, train teachers, go live. Most CBSE schools see a 40–60% drop in office phone calls about absence within two weeks of going digital.
Paper registers are legally adequate but operationally painful. If you have not switched yet, 2026 is the year.
