School ERP pricing in India ranges from ₹15/student/month to ₹200/student/month. That is a 13× spread. Here is how to know what your school should actually pay.
Three pricing models in the market
1. Per-active-student (the healthiest)
You pay for students marked active in the system each month. Deactivated students (alumni, dropped) do not count. This aligns the vendor with your growth and keeps the bill predictable.
2. Per-module licensing
Each module (fees, payroll, bus tracking, AI) has its own license fee. Sounds modular, turns expensive once you add four or five modules. Also creates awkward internal conversations about what to turn off.
3. Flat enterprise contract
A fixed ₹2–12 lakh per year for the whole school. Useful for very large chains, terrible for small and mid-sized schools.
What a reasonable 2026 price looks like
For a typical 500–1500 student CBSE or ICSE school in India, the fair range for a modern school ERP with mobile apps, AI, WhatsApp, and on-site support is:
- **Basic tier:** ₹20–40/student/month — core academics, attendance, fees, basic communications.
- **Mid tier:** ₹40–70/student/month — everything in Basic plus WhatsApp, payroll, library, exams, bus tracking.
- **Pro tier:** ₹70–100/student/month — everything, plus AI tutor and weekly on-site IT support.
Anything above ₹120/student/month should include something unusual — on-site staff 5 days a week, real-time custom reporting, or a dedicated product manager. If none of that is on offer, you are subsidising someone else.

What is worth paying extra for

What is not worth paying extra for
- "Enterprise SSO" most Indian schools do not need and rarely use
- "Premium analytics" that is just the same dashboard under a different name
- "White-label branding" unless you are reselling the product
