Best school ERP features you actually need (and 5 you don’t)
Opinionated list of school ERP and school management app features that matter vs flash features that waste budget.
Vendor feature lists are long. Your staff will only use a fraction of them. This post is what we have learned from onboarding schools: the features that actually move the needle, and the flashy ones that collect dust.
Features that always earn their keep
Auto attendance notifications to parents
The single biggest time save. Mark attendance once, absent-student parents get an SMS + WhatsApp within seconds. Office staff stop making calls.
Online fee collection with auto receipts
Razorpay pay-now link in every fee reminder. Parents pay from their phone at 11 PM, receipt auto-generated. Fee follow-up hours evaporate.
PDF report cards auto-emailed
Teachers enter marks, admin locks them, report cards generate and go to parents in the same minute. Days of printing and handing-out disappear.
Live bus GPS on a map
Parents stop calling the office to ask "where is the bus". It also massively improves parent trust in transport safety.
Real-time parent-teacher chat
One place for class-related questions. WhatsApp personal numbers for teachers go away. Image and PDF attachments included.
Weekly on-site IT support
The adoption multiplier. Nothing else drives ongoing usage like a real human walking the building.
Features that look good in demos but rarely matter
Public-facing alumni portal
Almost no school gets enough alumni to justify building this. Phone directories and Google Forms work fine at small scale.
"Enterprise SSO with AD integration"
Indian schools rarely have corporate AD. Magic links and role-based JWT are simpler and handle every real need.
Detailed library fines module
For most schools, book return tracking plus a rolled-up fines report is plenty. Full fines workflow is over-engineered.
Hostel module (non-boarding schools)
If you are not a residential school, you will never touch it. Do not pay for it.
Custom dashboards with drag-and-drop widgets
Sounds powerful, ends up being abandoned. A well-chosen set of fixed dashboards gets used every day.
The feature question that matters most
"Will my staff still be using this in 6 months?" If the answer is a confident yes, the feature earns its spot. If it needs training, memos, and reminders, it is probably a mistake.
Focus your budget on features that make day-one workflows faster. Everything else is decoration.
