Moving from paper registers to a school ERP in 30 days

A 4-week migration plan for schools moving from paper and Excel to a modern school ERP and school management app.

Switching a school from paper registers and Excel to a full school ERP feels daunting. It does not need to be. Below is the 30-day plan we run with schools we onboard.

Week 1 — setup and import

Day 1-2

Kickoff call. We collect: student roster (Excel), staff roster, class-section structure, fee structure, current timetable, and school branding (logo, colors).

Day 3-4

System provisioned. Data imports run. Admin account created. Classes, sections, subjects, timetable skeleton loaded.

Day 5-7

Admin training (2-3 sessions). Fee structure is verified. A sample report card is generated and reviewed.

Week 2 — teachers and students

Day 8-10

Teacher accounts provisioned. Teacher training on attendance, homework, marks entry, and chat. Class teachers get lead roles in their class.

Day 11-14

Students and parents provisioned. Parent app onboarding message goes out (email + SMS + WhatsApp). First attendance is taken digitally — we stand next to the admin.

Week 3 — parent adoption

Day 15-21

Parent adoption campaign. Daily attendance, first circular, first fee reminder — all sent via the new system. WhatsApp class groups are archived (not deleted). Your on-site support agent visits twice this week.

Week 4 — switch

Day 22-28

Full switch. Paper registers are retired. Everything — attendance, fees, announcements, chat, report cards — flows through the school ERP. First month-end dashboard is presented to trustees.

Day 29-30

Retrospective. What worked, what needs tweaking. Long-term cadence established (weekly on-site support visit, monthly trustee dashboard).

What to prepare before day 1

  • Excel file: Student roster with columns (Name, Class, Section, DOB, Gender, Parent Name, Parent Phone, Parent Email, Address).
  • Excel file: Staff roster with columns (Name, Role, Subject if Teacher, Phone, Email).
  • Current fee structure: who pays what for what class and for what term.
  • School logo (PNG/SVG).
  • Letter from principal to parents announcing the switch (we provide a template).

Common worries, addressed

  • **"Parents will not install the app."** They will — 70%+ install within two weeks once they get the first attendance alert on WhatsApp with a "download the app for live bus tracking" link.
  • **"Teachers will resist."** Most are relieved once they stop hand-writing report cards.
  • **"We will lose historical data."** We import last year’s marks and attendance if you have them. If not, the new system starts fresh.

Day 30 looks like: a modern school ERP running every operation, admin office visibly calmer, trustees with real dashboards.
